Part-Time Group Coordinator

AutoCamp is seeking a Part-Time Group Coordinator to provide administrative and general support to the management and sales team with a variety of activities at our Russian River property. The person in this role will act as the primary contact on property for all meeting and banquet related functions, and, manage the details of group events pre-arrival and provide a post-arrival audit along with billing information to various departments.

Requirements
ESSENTIAL RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

Demonstrate good-willed and exceptional hospitality towards all guests, co-workers and management.
Attend to details that are needed to ensure a great guest experience. Commit to achieving a high level of guest satisfaction.
Responsible for on-site coordination of group setup and activities, including F&B delivery and setup. Present and maintain a well-groomed look, and be highly visible and accessible during events.
Stay up-to-date on operations as they pertain to sales.
Attend and present at weekly staff meetings.
Prepare and distribute promotional and marketing materials.
Prepare Group Resume Packets and distribute weekly.
Be available to greet on-site group contact.
Follow-up with clients to ensure needs were met and guest were satisfied. Provide client with "Thank You" group survey.
Produce diagrams for room set-up.
Consult clients on Food & Beverage options and organize selected offerings for group gatherings.
Coordinate details as they relate to the needs of the group gathering. Such as: build room block, input rooming list and oversight of all group blocks.
Provide tours for walk-in guests; qualify and guide to sales manager.
Utilize reservation system for sales related administrative functions.
Perform any other duties as requested by Management.

DESIRED SKILLS AND EXPERIENCE
Two or more years of progressive and practical experience hotel or front office experience.
Proficiency in Microsoft Word and Excel. CRM, Google Suite, and Front Desk software experience is preferred but willing to train the right person.
Sales, marketing and /or event planning experience a plus.


EDUCATIONAL REQUIREMENTS AND PREFERENCES
A High School Diploma or G.E.D certificate. College degree preferred


THE RIGHT CANDIDATE WILL
Be able to multi-task and work at a high-pace, when needed.
Willing and able to maintain a flexible work schedule, working days or evenings as necessary 7/365.
Able to work with minimum supervision, however directed and trained.
Working knowledge of Cloud Based applications; knowledge of Google Suite products preferred.
Strong written and verbal communication skills.
Excellent organizational skills and guest relations skills.
Comfortable working with a wide variety of guests and employees, and able to negotiate through difficult situations.
Passion for guest satisfaction and loyalty.
Strong organizational and relational skills.
Thoroughness and an attention to detail.
Excellent and attentive customer service.
Must be a MacGyver, and able to find solutions when issues arise.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
